Adding Multiple Guardians to a Participant Profile

Overview

You can now give more than one guardian access to the same participant’s profile, invoices, and related data. This feature is especially helpful for families where parents or guardians manage a child’s account separately, such as divorced or separated parents.

Each guardian will have their own login and payment information, while still accessing the same participant data.

Why This Feature Exists

  • Allows multiple guardians to manage the same participant

  • Prevents access issues for families with separate households

  • Keeps payment methods and transactions private per guardian

👪 Guardian Experience

Add a New Guardian

  1. Primary Guardian must log in to Spend

  2. Navigate to Contact Info

  3. Click Add Guardian

  4. In the pop-up:

    • Review the participant name and group roster

    • Select which participant(s) the new guardian will access

    • Enter the new guardian’s email address

    • Click Add Guardian

⚠️ Authorization Notice

“By selecting Send, you authorize access to this account for the user email typed above.”

  1. The invited guardian will receive an email to create their account

  2. The roster will update showing the new guardian with a Pending status

  3. Once the invitation is accepted, the status will automatically disappear

Edit or Remove a Guardian

From the Roster:

  1. Select the three-dot menu on the guardian’s card

  2. Choose one of the following options:

    • Edit Email (only available if the invite has not been accepted)

    • Resend Invite

    • Delete Guardian (removes access)

🚫 Guardians cannot edit their own information.

💳 Invoices

  • All guardians can see all invoices for the participant

  • Each guardian:

    • Sees only their own payment methods

    • Will not see another guardian’s payment details

  • If an invoice was paid by another guardian:

    • The payment method is replaced with “Paid by [Guardian Name]”

  • All other invoice functionality remains unchanged

💰 Payment Methods

  • Guardians only see and manage their own payment methods

  • Payment methods are never shared between guardians

📊 Transactions

  • Guardians only see their own transactions

  • Other guardians’ transactions are not visible

Important Notes

  • Secondary guardians must complete the standard Spend onboarding process

  • Access is tied to the email address used during invitation
