Manage Officials and Workers

Use the💻 Managing Officials & Workers link to learn how to:

  • add and edit officials or workers
  • send contracts to officials
  • create daily reports that list workers' and/or officials' assignments
  • create event reports that list workers and/or officials
  • download or print an official voucher
  • track payment of workers and officials

Add and edit officials

  1. Log in to AD Assist
  2. Click the Maintenence tab in the left hand navigation
  3. Click Officials in the top navigation
  4. Manage or add an ofcicial:
    1. Type the officials information into the empty boxes
    2. ❗️Each official has to have a unique official ID
    3. ❗️Make sure you add the officials email address so they receive their notifications and can receive contracts you send them
    4. 📌If you are not able to see the officials social security and need to you will need to go to your preferences section and check the box next to SSN on file.
  5. Duties:
    1. Official duties can be managed from this section. You can add new duties and can edit existing ones. Duties will show on the official’s contract. 
  6. Assignments:
    1. You can easily view all your official assignments within a given date range
    2. After you click the assignments tab you can specify the information you want to see by selecting from the filter boxes and then clicking Apply Filter
    3. A report then populates showing you each official and the event/game they are working.
  7. Contracts:
    1. You can easily create and send contracts to your officials
    2. First select the date range of events you would like to create a contract for
    3. The Sport box and Level filter are optional
    4. You have to select an official from the Official filter box
    5. You can then select if you want to generate a contract to print and send or send an digital email of the contract.
  8. Reports:
    1. This report provides you with a daily report that includes details of the events, opponents and the official working that event/game
    2. Just click the toggle arrows to select the specific day you would like to view
    3. For Event Official Reports 

      This is a great way for you to view events that officials have been assigned and events that still need an official. 

      Navigate to Reports - Schedules - Official.

      🛑 This is the only official report NOT located in Maintenance.

  9. Vouchers:
    1. Many schools use the official voucher to give to their front office. The front office then uses the information to pay the official
    2. Scroll down to see all the information that is included in the official voucher
    3. After you select your criteria in the filter boxes you can then download the voucher to print or email to your front office!

Add and edit workers

  1. Log in to AD Assist
  2. Click the Maintenence tab in the left hand navigation
  3. Click Workers in the top navigation
  4. Manage or add a worker:
    1. In the Manage tab, click the blue add the worker buttonAfter you click
    2. Add Worker a blank section of boxes appears. Enter the workers information
    3. You can select if the worker is certified or hourly. Certified just means the worker will receive a flat payment for working the event. You can then enter their pay rate
    4. Don't forget to add their email address so they receive notifications 24 and 28 hours in advance of the event/game they are working
    5. Tap the enter/return key to save your worker information.
  5. Duties:
    1. Manage your worker duties here. You can edit and add new duties. Duties for workers will show when they have been assigned to an event/game. 
  6. Assignments:
    1. Click here to see all the events in which a worker is assigned. The events will be grouped per worker and all the event details and salary details will be included. 
  7. Pay Workers:
    1. Click here to create a list of workers and the events/games they worked within a date range. Their salary will be listed as well. 
  8. Reports:
    1. Click here to create a report that lists events/games and the workers assigned to those events/games.
